Privacy Policy

This Privacy Policy explains how your personal information is collected, used, and disclosed when you use the Calendance platform ("Platform"). The Platform is operated by independent dance studios ("Studio"), each of which is the data controller for the personal information of their members.
This policy is written in accordance with the Australian Privacy Act 1988 and the Australian Privacy Principles (APPs).
1. Information we collect
Information you provide
- Account details: name, email address, phone number (optional), profile photo (optional)
- Waiver signatures: your agreement to liability waivers, recorded with timestamp, IP address, and browser user agent
- Notification preferences: your choices about which emails you wish to receive
Information generated through use
- Booking history: classes you have booked, attended, cancelled, or missed
- Credit balance and history: credits purchased, used, expired, and any manual adjustments
- Payment records: order details and payment status (card details are handled entirely by Stripe and are never stored on our servers)
- Email logs: records of system emails sent to you (booking confirmations, reminders, etc.)
- Authentication data: login timestamps and session information
2. How we use your information
We use your personal information to:
- Authenticate your identity and provide account access
- Process class bookings and manage your credit balance
- Send transactional emails (booking confirmations, cancellation notices, class reminders, credit expiry notices)
- Send studio communications and announcements (with opt-out available)
- Record waiver acceptance for legal and safety purposes
- Administer the Studio's operations (attendance tracking, roster management)
- Improve the Platform and resolve technical issues
3. Payment processing
Payments are processed by Stripe. When you purchase a credit package, your payment details are sent directly to Stripe. We receive only a confirmation of payment, order reference, and amount. We never see, store, or process your credit card number or banking details.
4. Data sharing
We do not sell your personal information. Your data may be shared with:
- Stripe: for payment processing
- Email service providers: to deliver transactional and broadcast emails on behalf of the Studio
- Studio staff: administrators and instructors can view member information relevant to their role (e.g., class rosters, booking history)
Your data is scoped to the Studio you registered with. Studios on the Calendance platform are fully isolated — no data is shared between studios, even if you use the same email address at multiple studios.
5. Cookies and sessions
The Platform uses essential cookies to maintain your authenticated session. We do not use advertising or third-party tracking cookies.
6. Data retention
Your personal information is retained for as long as your account is active or as needed to provide services to you. Specifically:
- Account data: retained while your account is active; deactivated accounts are retained for record-keeping
- Booking and credit history: retained for the Studio's operational and reporting needs
- Waiver signatures: retained for the legally required period
- Email logs: retained for a reasonable period for troubleshooting and audit purposes
You may request deletion of your account and personal data by contacting the Studio (see Section 8).
7. Data security
We take reasonable steps to protect your information, including:
- Encrypted connections (HTTPS) for all Platform traffic
- Passwordless authentication to eliminate password-related risks
- Studio-level data isolation in a multi-tenant architecture
- Role-based access controls for Studio staff
8. Your rights
Under the Australian Privacy Act, you have the right to:
- Access the personal information we hold about you
- Correct inaccurate or outdated information (you can update your profile directly, or contact the Studio)
- Request deletion of your personal data
- Opt out of non-essential communications via your notification preferences
- Complain to the Office of the Australian Information Commissioner (OAIC) if you believe your privacy has been breached

9. International data
The Platform is hosted in Australia. If you access the Platform from outside Australia, your information may be transferred to and processed in Australia, subject to Australian privacy laws.
10. Children's privacy
The Platform is not intended for children under 16 without parental or guardian consent. If you believe a child has provided personal information without appropriate consent, please contact the Studio.
11. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be communicated via email or a notice on the Platform.
